Email and scheduling
Keep customer email moving with Bob and Gmail
The next important customer request can look like just another email. With a Gmail workflow configured in Office 168/52, Bob reads the conversation, prepares the next response, and keeps the customer’s request connected to the work it creates.
Bob reads the Gmail thread, drafts the reply from that history, and keeps the follow-up attached to the customer.
Give every follow-up the context it needs
Long email threads make simple questions expensive. Staff have to reconstruct the request, locate earlier answers, and remember who promised what. Bob can use authorized Gmail messages and threads as context for a concise summary and a useful draft. Your team gets a clearer starting point for the reply and a practical record of the next action.
Workflows
Read the relevant conversation
Retrieve authorized messages and thread context to identify the customer’s question, missing information, and requested next step.
Prepare a reply that fits
Draft an answer from approved business information and the actual email exchange. Use the configured approval process before sending from the connected mailbox.
Organize follow-up
Apply enabled labels and pass a structured recap into your CRM or team workflow so a message does not disappear after someone opens it.
Example workflow
Example workflow
A prospect replies to last week’s estimate with two scope questions and a new preferred date. Bob summarizes what changed, prepares a response, and identifies the scheduling request for staff review. The next person handling the lead can see the whole situation without rereading twelve messages.
Illustrative example, not a live execution log.
Connection and setup
Connect the appropriate Gmail account, choose permitted email tools, and define the labels, reply rules, and review steps for customer correspondence.
How Bob turns a conversation into a useful next step
Bob starts with the customer's request and the business information you approve. When the workflow needs a current record, Bob retrieves it from the connected service. When the next step changes a record or sends a message, Bob follows the permissions and approval steps you configure. The customer gets a useful next response, and your team gets a clear handoff when a person needs to take over.
Questions
Can Bob send from our Gmail address?
Gmail supports authorized sending. Office 168/52 can use that capability when the send tool and account permissions are enabled; draft-only workflows remain an option.
Does connecting Gmail make every email public to website visitors?
No. A customer conversation should receive only information authorized for that customer. Mailbox access for internal work does not make private email a public knowledge source.
Who decides what Bob can change or send?
You choose the records Bob reads and the actions he takes. A reply, a record update, or an outbound message follows the approval step you set for that workflow. See the pricing page for plans. This page does not list prices.
