Email and scheduling
Bring a more organized front office to Outlook email
Customer email often moves through several people before the request gets resolved. Bob turns authorized Outlook messages into a clear account of what the customer needs, what your team has already said, and what should happen next.
Bob reads the Outlook thread, prepares the reply, and keeps Microsoft 365 mail moving with the approval step you set.
Make the next handoff easier than the last
Outlook is where many businesses manage ongoing client relationships. Bob’s role is to make that history useful at the moment someone needs it. An enabled Outlook workflow can gather the relevant exchange, prepare a reply, and flag the outstanding task. Microsoft Calendar and Teams connections can extend the same workflow into scheduling and internal coordination.
Workflows
Summarize an email exchange
Read permitted message context and give staff a compact recap of questions, commitments, and unresolved details.
Draft the next response
Prepare a reply that uses approved service information and the correct customer context, ready for the sending process your business chooses.
Coordinate mailbox handoffs
Route the request to the appropriate team with the email reference and next action, including shared-mailbox workflows where access is configured.
Example workflow
Example workflow
A customer sends revised requirements to a shared service mailbox. Bob identifies the change, prepares a reply acknowledging it, and creates a staff handoff with the original message reference. The account owner can respond with continuity even if another colleague handled the first exchange.
Illustrative example, not a live execution log.
Connection and setup
Authorize the Microsoft account and eligible mailbox, confirm any organization-admin consent, and select the email actions and review rules Bob may use.
How Bob turns a conversation into a useful next step
Bob starts with the customer's request and the business information you approve. When the workflow needs a current record, Bob retrieves it from the connected service. When the next step changes a record or sends a message, Bob follows the permissions and approval steps you configure. The customer gets a useful next response, and your team gets a clear handoff when a person needs to take over.
Questions
Is Outlook email the same connection as Microsoft Calendar?
They use related Microsoft services but serve different jobs and may require different permissions. Treat email and calendar actions separately when configuring Bob.
Can Bob work with a shared mailbox?
Microsoft Graph supports shared-mailbox scenarios. Availability depends on the mailbox permissions, authentication model, and Office 168/52 tools enabled for your organization.
Who decides what Bob can change or send?
You choose the records Bob reads and the actions he takes. A reply, a record update, or an outbound message follows the approval step you set for that workflow. See the pricing page for plans. This page does not list prices.
